Job Role: VINCI Facilities are currently recruiting a Commercial Assistant to join their FM mobilisation team based in Watford or Ludgate Hill. Reporting to the Commercial Manager, the Commercial Assistant will be responsible for supporting the team with a full spectrum of commercial and administrative functions. Duties: Assisting the commercial and operational team to comply with all Commercial and administration processes and procedures whilst ensuring a successful project outcome. Developing a full knowledge of our commercial processes and procedures on projects and apply best practice and continuous improvement approach to maximise returns in terms of profit. Ordering materials for the team via COINS purchase ledger Processing purchase orders and delivery notes for supplier payments Reconcile purchase card transactions Assisting the commercial team with the procurement of materials and packages Prepare client quotations and maintain quotation registers Identify any unnecessary costs and inefficient activities. Assist in the timely preparation of valuations, submissions of invoices and receipt of payment. Assist in the prompt preparation and settlement of final accounts, including variations, claims and disputes. Make best use of knowledge management information systems. (Maximo, COINS) Assisting with any other adhoc administrative office management tasks as required Requirements Extensive administrative experience gained from within a busy working environment Previous experience using COINS accounting software is essential Excellent knowledge of Microsoft Office, including Excel and Powerpoint
