Our client is keen to appoint a Practice Manager / Executive Assistant to the Principal of the firm. This is a key role. Overall responsibility for the day to day running of the non - technical side of the Practice to include regulatory requirements, marketing and IT, whilst supporting the Principal in the development of the practice. To provide support to the Principal in all aspects of business operations within the Practice. Key Duties and Responsibilities Practice Management To assist in driving the business forward to meet the Practice goals; Develop and manage effective systems, processes and procedures which enable client meetings to be optimised; Ensure all back-office staff perform their key functions on a consistent and effective basis through effective people management skill and processes; Provide technical support and training to new/junior staff joining the Practice; Ensure the Practice is up to date and in compliant with all licensing, CPD, regulatory and legislative requirements; Manage communications within the Practice, and to clients and third parties; Develop and maintain the Practice websites, LinkedIn profiles and associated marketing activities; Ensure office stationery and equipment is of sufficient quality, quantity and up to date; Manage travel bookings and arrangements for the Practice; Manage the Principal's diary and client appointments; Maintain accurate and up-to-date client information and ensure that this is held on the client management system; Maintain all office equipment and relationship with suppliers; Accounting support to Principal - collating invoices and liaising with bookkeepers, payroll and accountants. Marketing Assist the Principal in the creation and maintenance of the Practice marketing plan; Manage the distribution of marketing material to relevant client audiences; Create, authorise and provide an audit trail of advertising material; Undertake the end-to-end management of client events; Administer all client and prospect information. Practice Development Oversee/manage and/or contribute to all projects within the Practice; Support the Practice in gaining new prospects and clients; Support the team to develop client relationships and referrals, service existing clients and assist in building new relationships (incorporating client entertainment events) to create a first-class client servicing strategy; Attend forums and workshops as appropriate. Team responsibilities Project a professional image in both appearance and attitude and provide quality support on time to agreed standards; Attend and contribute to regular update meetings with the Principal; Maintain a good working relationship with colleagues, clients and third parties. Knowledge and Experience: Previous experience in PA/office support role, ideally in financial services or legal/accountancy; Knowledge of relevant FCA regulation and products, and their practical application; Experience of setting up and maintaining systems, processes and procedures; Comfortable with/experienced in using electronic (client) data systems: Experience of managing workflow, systems and procedures; Experience of project management. Skills and behaviours: Excellent face-to-face and telephone client interaction skills and ability to build rapport swiftly; Broad experience of Microsoft Office (Outlook, Word, PowerPoint, Excel); Highly organised with excellent communication skills; Strong influence skills; Demonstrates a positive attitude at all times; Attention to detail; Manages time effectively with the ability to multi-task; Keeps calm when faced with conflicting demands and handles these effectively; Demonstrates a professional, proactive and positive attitude; Works well on own tasks as well as on shared goals as part of a team; Open to change with a creative approach to problem solving; Experience of managing workflow, systems and procedures. Salary £35,000 - £40,000 depending on qualifications and experience.
