Position Overview The Senior Director, Global Travel & Meeting Services, directs Autodesks Multi-Million-dollar Global Travel & Meeting Services Program. This encompasses a $100 Million Global Travel program and $30 Million in Meetings Management contract oversight. Additional aspects of the position include continuous benchmarking of Travel & Meetings Policies, technology options to improve performance, program compliance processes, Travel & Meetings Risk Management, Travel Management Companies (TMC) services, Strategic Meetings Management (SMM) processes as well as managing a global team of travel and meeting professionals. This high visibility position requires building and maintaining internal partnerships with key Autodesk stakeholders including Finance, Purchasing, Expense Management, A/P, Risk Management, Legal, Audit, and C-Suite. Responsibilities Travel Department Provide strategic guidance for global travel processes which improve the end-user experience while maintaining cost controls Manage three Geo-Travel Managers (AMER, APAC, EMEA) who maintain the regional travel program Direct the global TMC network to ensure data collection for vendor negotiations, management of the online booking process and reporting database Conduct vendor QBRs to ensure contract hurdles are maintained, including the direction of booking practices and preferred vendors This position will operate as a key business partner linking Travel with other department functions including Sales, Meetings and Events, Purchasing, Finance, internal IT functions, Audit, HR, and Safety/Security This role will manage multiple projects of varying scopes concurrently, while meeting timeline milestones and quality expectations. Conduct regular educational presentations for all levels of staff to evangelize the global travel & meetings program Manage department communication portals such as SharePoint, SLACK channel and other key communication outlets Manage compilation and distribution of data for management reports to key stakeholders Conduct regular program reviews with CFO and CHRO Manage corporate jet program Strategic Meetings Management Strategize direction of the SMM program working with the SMM Manager who oversees a team of 4 meeting professionals worldwide Engage with Legal, Finance and Purchasing functions to ensure alignment for payment, consistent contract terms and conditions and cost containment are maintained Benchmark like companies for program development Evangelize program globally, conducting educational seminars to educate employees and key stakeholders on departmental strategy, cost savings, Policy and compliance directives Provide guidance for hotel sourcing RFPs, F&B, A/V and other key elements of meeting and event contracting Conduct surveys to develop internal employee feedback and measure program improvements Budget Management / Cost Avoidance Manage departments annual Operating Budget recommending cost-savings opportunities through monthly meetings with divisional FBP Encourage the use of on-site facilities and virtual collaboration tools (Skype and Zoom) to reduce travel costs before they are incurred and capture and report cost savings and cost avoidance Manage Workplaces & Travel Department travel expenditures Provide guidance for annual budget Vendor Management Protect Autodesks brand through close vendor management, negotiation integrity, contract compliance In conjunction with purchasing liaison, conduct regional and global RFPs sourcing vendors that help meet key criteria for lowering travel & meeting costs and improve internal customer service Conducting analysis of reports available to meet goals and travel reduction targets set by leadership Consolidate travel data on a global basis to support leadership, financial and sustainable reporting Support the global FBP organization with information on quarterly travel costs to meet OPEX targets Track cost savings and develop strategies for cost avoidance as industry and financial opportunities arise Minimum Qualifications Skills and Knowledge Exceptional communication and presentation skills Strong knowledge of global travel and meeting automation programs Advanced user of Microsoft Office programs Ability to multi-task and prioritize under deadline-driven environment Effective negotiator (TMC, airline, hotel, ground transportation, meeting sourcing) Demonstrated ability to develop and maintain high-trust relationships and form teams Strong organizational and project management skills Thorough knowledge of budget management process and accounting/reconciliation of budgets Demonstrated success in problem solving and finding appropriate solutions Excellent influencing skills and ability to sell benefits of program compliance Results-oriented win-win attitude High level of customer-service focus Prior travel report development and distribution experience including the ability to design, build and deliver metric reports Professional and mature attitude with measured response to working under pressure Education BS/BA preferred or equivalent professional experience GTP, CCTE, CMP, CWAS or other travel/meetings certification preferred Experience Recent 10 years work in global Corporate Travel and Meeting Management environments Expert-level functional knowledge of TMCs, GDS programs, online travel and meetings (RFP) booking technology certification/training Managerial experience overseeing a global team with remote employees Experience in travel audit and reporting functions Experience working within cross-functional teams to drive success Experience with group travel processes including reporting Experience working in Strategic Meetings Management environment Experience negotiating global airline contracts including JV and Alliance contracting Experience in accounting including building and managing budget processes Experience managing multiple priorities Strong customer service and problem resolution experience (win/win attitude) Experience with problem solving for technology and vendor issues (key driver of work-around philosophy) how best to get the most desired results within designed protocols Experience working with multiple levels of management, including C-suite Experience creating and presenting strategy to executive level management About Autodesk With Autodesk software, you have the power to Make Anything.
