Role Summary The candidate will work in the Separate Accounts team and the UK Transactions team within CBRE Global Investors. The primary role of the Team Assistant will be to assist a team of 12 of varying different levels, including the department head, working across 10 Funds within the Direct side of the business. Key Responsibilities
• Complex diary management for Senior Directors, Directors and Associates within a team of 12;
• Organising and confirming meetings and conference calls with Clients;
• Invoice management; Client invoicing & processing of Fund supplier invoices;
• Organising and booking of business travel arrangements through the company's preferred supplier - flights, train tickets, hotel accommodations, car hire;
• Handling expense claims for members of the team;
• Administration of legal documents for each Fund;
• Assisting with the formatting of Client reports in Word and PPT, printing and binding Client presentations;
• Organising team social events;
• Assisting with the organisation of our annual event on behalf of the Separate Accounts Department; prepare and send out invites, track RSVPs/attendance, sourcing of venues and confirming catering and presentation materials;
• General daily duties including opening and distributing the post, booking and logistics for both internal and external meetings, including catering;
• Performing ad hoc projects - Property registrations using Salesforce. Person Specification/Requirements
• Exceptional organisation/communication skills, both verbally and in writing;
• Client contact;
• Confident and exceptional attention to detail;
• Ability to form strong relationships and maintain a positive attitude;
• Enjoys working as part of a wider team, who deals effectively with colleagues and clients;
• Able to prioritise and co-ordinate demands efficiently ensuring all deadlines are met;
• Pro-active with proven experience of working in a similar role;
• Advanced IT skills (Word, PowerPoint, Excel, MS Outlook);
• Proven PA experience in a similar role;
• Salesforce experience preferred but not essential.
