Responsibilities:
To contribute to the effective running of the school, providing financial support under the direction and guidance of the Senior Business Manager (SBM). To ensure that best value for money is achieved. Carry out financial management administration in accordance with the appropriate ESFA finance regulations and policies Provide all necessary information to allow the SBM to consolidate financial and accounting information Manage the day to day accounting procedures and recording of all financial transactions accurately on the financial softwareensuring:
• Effective operation of the finance function of the school
• Assisting the SBM with all aspects of the development of school finances
• Ensuring the safe receipt and handling of cash and the reconciliation of transactions
• Assisting the SBM with all aspects of payroll and pension administration including monthly and annual returns
• Co-ordinating and completing administrative routines relating to orders, invoices, cheques, income, payroll and the receipt and distribution of goods and services Keep accounts for inspection by internal and external audit Specific Duties & Responsibilities Accounts Process orders and approve payments ensuring correct financial control is applied Ensure robust requisitioning and purchasing procedures, including following up on approvals from department head & SBM Obtain quotes where necessary ensuring best value for money
• Check and process invoices, and upload onto the finance system
• Match purchase orders to invoices and delivery notes
• Record payments onto the ledger and match payments to invoices
• Schedule payment runs and follow through with reconciliations Liaise with suppliers and respond to queries
• Reconcile bank and charge card accounts Input cashbook journals or nominal ledger journals where departmental recharges need to be made
• To assist in the setting up and maintaining of archive files and historical data Accounts Receivable (AR) & Cash management Issue sales invoices, follow up debtors for payment Record receipts in the finance system Operate the online cashless payment system providing information to SBM and chase all debt Setting up of payments on ParentPay Monitor ParentPay payments, matching and report on debt Issue 1st debt letter and escalate to SBM if unpaid Voluntary Income
• Record and reconcile school trip income/expenditure Liaise with staff to ensure viability of school trips
• Record all other voluntary income as applicable Ensure safekeeping, and banking of all monies received by the School in a timely manner Liaise with catering regarding free school meals and ensure accurate records are maintained. Accurately account for the banking of all income, including lettings, trip money and all monies raised for charity events and to liaise with staff and pupils in respect of school trip payment requirements. Report to SBM on voluntary income To assist with any reports required by SBM for the governors' and Finance Committee meetings General
• All the staff have a part to play in supporting the school's ethos, understanding pupil safeguarding requirements and promoting the best possible image to parents and prospective parents.
