A Billing Coordinator will assist with Banqueting Accounts procedures, Banquets Commissions and any other Direct Bills What will I be doing? Daily Postings\. Ensure all minimum numbers and additional charges are posted daily, and agreed with event organisers/ manager\. Account Billing\. All C&B accounts must be reconciled, checked, and posted to client within 48 hours of event finish\. Ensure medium and large events are summarised in a spreadsheet in a way that is understandable to the client\. Banqueting Credit Notes/ Allowances\. A log of all Credit allowances raised must be kept is spreadsheet for audit purposes\. Ensure all bedrooms attached to the conference are summarised and included in the invoice and work with the reception group managers constantly\. Banqueting Commissions\. Prepare within 48 hours \(depending on the size of the event\) of event finish a Banqueting commission calculation sheet for all commissionable events\. Ensure there is a valid contract quoting the commission payable for all commissions\. Ensure travel agents that do not have IATA/TIDS or HBAA status have been approved appropriately before commission is processed Recharges\. Ensure all items are correctly recharged to the events\. Ensure all queries received, whether internal or external are resolved within 24 hours of receipt\. Ensure all open banqueting group masters are kept to a minimum and that regular reviews are carried out on all un\-cleared Group/House accounts\. Ensure Rooms Direct Bills are scanned on a daily basis before 10am\. Dealing with queries sent from HSSC and auctioning any missing bills\. Continually review procedures so that the above duties are achieved within the maximum efficiency\. What are we looking for?
