Are you an EA with proven project management experience? Can you support senior level management both professionally and privately? My client who operates not only in the medical but in a multitude of sectors globally is on the search for a superb Executive Assistant with a proven track record of project management experience to support the Principal, CEO and the wider team. The role will involve a variety of duties from daily office management and EA support to managing projects throughout the entire cycle. The roles responsibilities are to include but are not limited to the following: Executive Assistance & Office Management Principal's task coordination and monitoring (presenting to do lists in structured manner etc. Management of email correspondence Acting as gatekeeper and point of contact for principal Researching and arranging travel and accommodation Diary management, including management of constantly changing international travel plans Household management Ad hoc personal assistant duties e.g. personal shopping, errand running General office management A continuous improvement focus, influencing and changing workflows, creating an ethos of simplification. A flexible and proactive approach Strong organisational skills Proven Project Management experience Excellent communication skills, established professional judgment Advanced Microsoft Office skills, particularly Excel. Numerically literate. Discretion and respect for confidentiality (high priority as you will be working for an extremely private individual) "24/7 role" - flexibility to work to different time zones and ad hoc out of hours requests if required Commercial & Project Assistance Project Management (across various sectors) Build and maintain successful partnerships with the team, stakeholders and key business sponsors Agenda and general preparation for meetings, sometimes attending on behalf of the principal Review of financial and legal documents prepared by external advisors Coordinate & Oversee business flows Accounting Overseeing Invoice and payment management including banking preparation and reconciliation, VAT returns Interfacing with external accountants and use of accounting platforms (e.g. QuickBooks) Creditor/Debtor/Supplier Control Corporate Governance Managing Companies House & HMRC filings with external accountant Preparing minutes, keeping accurate records and filing resolutions, company handbooks and policies, ensuring compliance Human Resources Tracking employee expenses and maintaining HR policies Administration of HR Online System - HR records, absence management Training Coordinator - ensuring training records are stored on relevant platforms Interface between MD and employees Offshore family office integration; coordination with Trustees and developing a regular relationship on key functions to be developed over time, including reporting Potential to research and explore new business opportunities If this role sounds like you, then apply now
