Location:
The City of London Who You'll Be Working for: An international bank What You'll be Doing Each Day: General Administration Support and providing support for the HR & Administration Department to ensure that it operates efficiently. Your Key duties and Responsibilities including:
• Assistant to all Deputy General Managers - e.g. expenses, travel, diary management, as required;
• Administration of mobile phones;
• Arrange travel and accommodation for staff business trips e.g. visas, flights and hire cars, if required;
• Arrange temporary accommodation and provide support to expats;
• Manage company Oyster cards;
• Organise monthly Lunch & Learn sessions and Breakfast with the CEO;
• Liaison with Social Committee as necessary to organize events;
• Manage temporary and contractors invoices log;
• General invoice administration;
• Preparation of references for banks, landlords, new employees, invitation letters etc.;
• Managing stationery suppliers and orders;
• Liaison for the Bank's third party service providers e.g. travel companies, airlines, accommodation services, etc.;
• Organise all internal and external events e.g. Chinese New Year, Chinese festival celebrations throughout the year, CEO Town Hall meetings, arranging food / refreshments;
• Make pre-arrangement for the delegation purpose, including conference preparation, presentation of the profile of the bank, accommodation, transportation and meals etc.;
• Deal with quarterly reputational risk management report;
• Support in preparing various reports and PowerPoint materials to be presented to Head Office;
• Other HR and Admin related matters assigned by Head and Co. Head. The Skills You'll Need to Succeed:
• Good writing, communication and research skills both in English and Chinese;
• Good organizational and interpersonal skills;
• General administration experience and strong attention to detail;
• Good skills in Microsoft PowerPoint, Word and Excel;
• Multi-tasking skills;
• Able to demonstrate initiative skills and ability to prioritise tasks.
