Your new role
You new role will be that of Purchase Ledger Clerk, you will be responsible for the following: Accurate processing of the Purchase ledger exception queues in accordance with KPI's. This involves monitoring & management of the Client, property, supplier & vat number exception queues. Accurate processing & expense coding of Client instructed & fee invoice queries in accordance with SLA. Cover for ad-hoc CHAPS payments & weekly BACS runs for respective property systems Cover for creation of new supplier records on respective PM systems in accordance. Review of daily payment bank reconciliation & subsequent booking of supplier refunds & void payments by cheque and BACS. Support the management & reconciliation of creditor balances > three months are refunded. Regular update of PL standing operating procedures in line with any process changes. Reconciliation of cheques via cheque management system & daily banking routine. Support Supplier statement reconciliations across multiple systems. Liaising with external stakeholder e.g. property managers, facilities managers and client accountants as appropriate. Cover for daily import of approved invoice files into respective PM systems. Management and response to internal and external queries in accordance with internal SLA - via email / phone. Full compliance with VAT, RICS & CIS regulation for Purchase ledger processes. Strict adherence to department processes and procedures. Strong attention to detail and query management. Collaborative working with other departments to ensure excellent customer service
What you'll need to succeed
Knowledge of the following systems an advantage; Qube, Tramps. Strong excel skills (Vlookup / Pivot tables) Excellent attention to detail. Well organised, able to prioritise workload &ability to work with strict deadlines. Self-motivated and proactive. Good interpersonal skills capable of communicating at various levels. Interest in continuous improvement and development of new technologies. Strong ability to work well under pressure. Team minded, must enjoy working as part of a team - both working individually and as a team member. Experience of implementing process change / improvements essential. Will think 'outside' the box. Embraces change management and demonstrates flexibility. Someone is accountable and takes full ownership of tasks at hand. Experience of working to strict SLA's, meeting internal KPI's and month end deadlines. Able to use own initiative and demonstrates strong organisation and planning skills. Confident & professional when liaising with colleagues, customers and staff
