Responsibilities:
Day to day detailed diary management - meeting coordination both externally and internally, conference calls (international) General call fielding and screening. Good Customer Service as first point of contact for Clients. General Email screening and responding to enquires for the Managing Director. Opening post and actioning accordingly. Liaising with reception to make sure the appropriate rooms are booked for the meetings. Preparation for meetings, including occasional note taking, document preparation and background information ahead of meetings. Some Proof reading and re formatting of Documents. Detailed communication so the Director's knows all the information for his day and time, including time and address's for meetings. Arranging Travel to and from meetings Collecting all materials related to, and processing of expenses and credit card statements Managing Business Accounts and keeping track of payments including trip expenses for recharge. Detailed Business travel - arranging visas, flights, hotels, transfers for various launches and trips throughout the year. Working with the necessary departments and clients to put together succinct and detailed itineraries. Businesses - acting as the first point of call for the Director's other businesses and arranging meetings and dealing with requests as necessary. Liaising and managing the Director's other properties. Picking up on personal requirements when needed Requirements Proven experience supporting HNWI's or well-known personalities is essential as well as the ability to demonstrate confidentiality and discretion at all times.
